Job DescriptionsThese are job descriptions for each of our WPLL board memebers as voted on and approved by the WPLL Board. WPLL board jobs include: President | Vice President | Secretary | Treasure | Players Agent President. The President shall: Vice President. The Vice President shall: (a) Perform the duties of the President in the absence or disability of the President, provided he or she is authorized by the President or Board so to act. When so acting, the Vice President shall have all the powers of that office. (b) Perform such duties as from time to time may be assigned by the Board of Directors or by the President. Secretary. The Secretary shall: (a) Be responsible for recording the activities of the Local League and maintain appropriate files, mailing lists and necessary records. (b) Perform such duties as are herein specifically set forth, in addition to such other duties as are customarily incident to the office of Secretary or as may be assigned by the Board of Directors. (c) Maintain a list of all Regular, Sustaining and Honorary Members, Directors and committee members and give notice of all meetings of the Local League, the Board of Directors and Committees. (d) Issue membership cards to Regular Members, if approved by the Board of Directors. (e) Keep the minutes of the meetings of the Members, the Board of Directors and the Executive Committee, and cause them to be recorded in a book kept for that purpose. (f) Conduct all correspondence not otherwise specifically delegated in connection with said meeting and shall be responsible for carrying out all orders, votes and resolutions not otherwise committed. (g) Notify Members, Directors, Officers and committee members of their election or appointment. Treasurer. The Treasurer shall: (a) Perform such duties as are herein set forth and such other duties as are customarily incident to the Office of Treasurer or may be assigned by the Board of Directors. (b) Receive all monies and securities, and deposit same in a depository approved by the Board of Directors. (c) Keep records for the receipt and disbursement of all monies and securities of the Local League, including the Auxiliary, approve all payments from allotted funds and draw checks therefore in agreement with policies established in advance of such actions by the Board of Directors. All disbursements by check must have dual signatures. (d) Prepare an annual budget, under the direction of the President, for submission to the Board of Directors at the Annual Meeting. (e) Prepare an annual financial report, under the direction of the President, for submission to the Membership and Board of Directors at the Annual Meeting, and to Little League Headquarters. Player Agent. The Player Agent shall: (a) Record all player transactions and maintain an accurate and up-to-date record thereof. (b) Receive and review applications for player candidates and assist the President in verifying residence and age eligibility. (c) Conduct the tryouts, the player draft and all other player transaction or selection meetings. (d) Prepare the Player Agent’s list. (e) Prepare for the President’s signature and submission to Little League Headquarters, team rosters, including players’ claimed, and the tournament team eligibility affidavit. (f) Notify Little League Headquarters of any subsequent player replacements or trades. Safety Officer. The Safety Officer shall: (a) Be responsible to create awareness, through education and information, of the opportunities to provide a safer environment for youngsters and all participants of Little League Baseball. (b) Develop and implement a plan for increasing safety of activities, equipment and facilities through education, compliance and reporting. NOTE: In order to implement a safety plan using education, compliance and reporting, the following suggestions may be utilized by the Safety Officer: (1) Education - Should facilitate meetings and distribute information among participants including players, managers, coaches, umpires, league officials, parents, guardians and other volunteers. (2) Compliance - Should promote safety compliance leadership by increasing awareness of the safety opportunities that arise from these responsibilities. (3) Reporting - Define a process to assure that incidents are recorded, information is sent to league/district and national offices, and follow-up information on medical and other data is forwarded as available. League Information Officer. The League Information Officer shall: (a) Manage the league’s official home page on myteam.com; (b) Manage the online registration process and ensure that league rosters are maintained on the site; (c) Assign administrative rights to league volunteers and teams; (d) Ensure that league news and scores are updated on a regular basis; (e) Collect, post and distribute important information on League activities including direct dissemination of fund-raising and sponsor activities to Little League Baseball, district, public, league members and media; (f) Serve as primary contact person for Little League and myteam.com regarding optimizing use of the Internet for league administration and for distributing information to league members and to Little League Baseball. Coaching Coordinator. The coaching coordinator shall: (a) Represent coaches/managers in league; (b) Present a coach/manager training budget to the board; (c) Gain the support and funds necessary to implement a league-wide training program; (d) Order and distribute training materials to players, coaches and managers; (e) Coordinate mini-clinics as necessary; (f) Serve as the contact person for Little League and its manager-coach education program for the league. Junior League Coordinator & Junior League Assistant Coordinator. The Junior League Coordinator shall:
Softball Coordinator & Softball Assistant Coordinator. The Junior League Coordinator shall:
Umpire Coordinator. The umpire coordinator shall:
A, AA, AAA and Major Coordinator. The coordinator
for each level shall: All-Star Coordinator. The All-Star Coordinator shall: (a) Make hotel/camp reservations for all teams leaving for All-Stars. (b) Report All-Star scores to the league Information Officer. Equipment Manager. The Equipment Manager shall: (a) Maintain an inventory of all WPLL equipment. (b) Check out all equipment to coaches. (c) Check in equipment at the end of each season. (d) Submit a list of missing equipment to the board at the end of the year meeting. (e) Be in charge of ordering all equipment. (f) Submit a budget and an assessment of all equipment listing needs for the next season. North and South Sponsors Coordinators. The North and South Sponsor Coordinators shall: (a) Contact and collect sponsorship agreements from all sponsors. (b) Communicate with each other to arrange sponsors for all teams. (c) Contact sponsors regarding payment schedules. (d) Deliver sponsor plaques at the end of the season. (e) Compose and deliver a sponsors thank you letter to be delivered at the end of the season. Registration Coordinator. The Registration Coordinator shall: (a) Make sure all registration sites have forms and items needed to conduct registrations. (b) Organize volunteers to work at registrations. (c) Work with the Coaching Coordinator, Treasure and Player Agent for turning in fees, applications and volunteer forms. Schedules and Pictures. The Schedule and Picture Coordinator shall: (a) Create and update all schedules. (b) Reschedule all rainouts. (c) Report all rescheduled games to the appropriate coordinator. (d) Report all schedule changes to the league information officer. (e) Report all games to Medical Lake, Cheney and Airway Heights recreational departments. (f) Reserve field use time from Medical Lake, Cheney and Airway Heights for games and practice. (g) Work with the leagues chosen picture company to schedule pictures. Opening Day Ceremony Coordinator. The Opening Day Coordinator shall: (a) Organize the Opening Day Ceremony including, Food, Schedule, Guests, Invitations and Thank Yous (b) Develop a brochure to be handed out at Opening Day Ceremony. (c) Work with the Equipment Manager to order shirts for Opening Day Ceremony. (d) Schedule games for the Opening Day Ceremony Mariners Day Contact. The Mariners Day Contact shall: (a) Distribute Mariner ticket order forms to all teams. (b) Establish a deadline for collecting ticket order forms from each coach. (c) Contact and coordinate with the Seattle Mariners representative. (d) Collect money from all parents and work with the treasure to pay for tickets. Awards/Pins Coordinator. The Awards/Pins Coordinator shall: (a) Develop and order a West Plains Little League Pin. (b) Order pins to be given out to All-Stars. (c) Order trophies for league winners. (d) Present a awards budget to the board at the beginning of each season. Tryouts Coordinator (All-Star/Pre Season): The Tryout Coordinator shall: (a) Develop a structure of the tryouts that will be presented to all coaches. (b) Run tryouts to match the pre-determined format. (c) Present tryout format to the board for approval. (d) Develop a rating sheet for all coaches to use at the tryouts. Fairchild Contact. The Fairchild Contact shall: (a) Distribute WPLL material on the base. (b) Work with Fairchild recreation director to publicize WPLL. (c) Report to the board Fairchild issues concerning youth baseball. Scorekeeping Trainer: The Scorekeeping Trainer shall: (a) Develop a tutorial that all scorekeepers must complete. (b) Work with coaches to make sure that all teams have a scorekeeper. (c) Distribute scorebooks to scorekeepers that have completed training. Fundraiser Chair. The Fundraiser Chairperson shall: (a) Collect all fundraising donations. (b) Purchase gambling license from Washington State Gambling Commission. (c) Develop the tickets for the fundraiser. (d) Distribute the tickets to all WPLL teams. (e) Collect all tickets and conduct the drawings for the prizes. (f) Collect all money for tickets sold. (g) Distribute thank you notes to all that donated. (h) Distribute prizes to winners. (i) Report winners to the Information Officer. |
